Campus Hiring Slack Alerts for an Overnight Shortlist
Campus hiring Slack alerts are the difference between hearing about a strong fresher before the placement cell’s 9:30 call and hearing about them after the student has taken another company’s walk-in. I watched the late version in April. A tier-2 college dropped 400 resumes into a sheet just after 6 a.m. Scores were ready before the TA lead’s cab reached the office. The channel she actually watched said nothing. By the time she opened the inbox, the two names the placement officer wanted to discuss had already told him they were “in process elsewhere.”
The resumes were not the miss. The miss was that the only signal lived inside a product she was not staring at during a placement week. The sheet-to-campaign trigger is the intake. This post is what should ping once that intake has a score.
Why a campus Monday needs a HireQwik Slack ping
Campus weeks are not desk weeks. The TA lead is on a panel, on a call with the placement cell, or on a train between colleges. The inbox fills while they are standing up. A message in the channel they already have open is the only signal with a chance.
SmartRecruiters’ 2025 benchmarks put a typical review of applications at about six days, with promising people reaching interview in the second week. That pace is fine for a single mid-level req. It is not fine for a drive where the gap between an offer and a joining day is short and the student is sitting in three other processes the same afternoon.
A chat alert will not shorten the whole funnel. It can shorten the gap between “scored” and “a human saw the name.”
The HireQwik high-score ping on an overnight sheet
When the sheet poller takes in a new row and writes a match score, HireQwik can post a high-score alert. It does this only if an admin has turned that event on, and only if the score is at least the threshold. Untouched, that threshold is 0.85.
Read that as 85 percent on a 0 to 1 scale. The box on the notifications page is labeled as a threshold from 0 to 1. Typing 85 does not mean 85 percent. Typing 0.85 does.
On a campus sheet this ping is early. It is the resume match, not the voice verdict. A student can clear 0.85 on paper and still miss a disqualifier early in the conversation, or land On Hold once they have talked. Treat the overnight ping as “open this resume before the placement meeting,” not as “issue an offer.”
The resume bands inside the review queue are a different cut: The top resume band starts at 90 percent and the next band starts at 75. A default alert line of 0.85 falls in that second band. It will speak before a profile reaches 90. If your campus channel should only hear the top slice, raise the line. Write that number on the drive brief so a coordinator does not tidy it back to the default on Monday morning. If 0.85 floods you, that is the line doing what it was set to do.
The message itself is short: the student’s name, the percent, the role, and a link to the resume row. It does not paste the CV into Slack. Someone still has to open HireQwik to read it.
The 9 a.m. HireQwik digest before the placement call
Instant pings are a poor fit for a sheet of 400. Even a strict line can mean a burst. The other instrument is the per-role digest.
By default the role owner gets an email at 09:00 IST. It goes out only when there is something new, so a quiet night does not produce a “zero updates” note. The body is a count: new profiles shortlisted, how many are Strong Go, how many are Go, and a link into that role’s inbox.
Slack does not get this email automatically. An admin has to tick the per-role digest event on the notifications page. I like that split on a campus drive. The owner, who is accountable for the college, gets the email every morning there is work. The shared channel gets the copy only if the whole team is working that drive together.
If you time the placement call for 9:30, the 9:00 note is the briefing. You walk in with a count, not with a promise to “check the tool after this.”
The HireQwik nudge when Strong Gos sit unreviewed
A morning email fails when the pile grows after 9:00 and nobody returns until the next day. HireQwik also sends a nudge once unreviewed Strong Go and Go results, accumulated since the last note, cross 5. A role can override that count. The email is the main path. The channel copy uses the same opt-in as the daily note.
The nudge text is a count, not five separate essays: how many strong candidates are waiting, split into Strong Go and Go. That is the right shape for a campus afternoon. You do not need five biographies in chat. You need to know the queue crossed a number you promised yourself you would not ignore.
Five is a small number on a 2,000-applicant drive and a large number on a 40-person specialist role. Change it per role if the default does not match the volume. Do not turn the nudge off because one noisy day annoyed the channel. Raise the count, or keep the nudge on email only.
Who belongs in the campus HireQwik channel
I would not post these notes into the company-wide Slack. A campus channel should be the TA lead, the recruiters who own the trainee roles, and maybe one hiring manager who has agreed to answer quickly. A founder who wants a weekly total can read the email. They do not need every 0.86.
The destination is one setup for the organisation, chosen by an admin. You cannot give the north campus recruiter a private alert room and the south campus recruiter a different one inside this feature. If the colleges must stay separate, use separate roles and let each owner rely on their own digest email. Use the shared channel for the drive the whole team is staffing.
A coordinator who only needs to see one student should not be added to that channel. Send them the single record. The channel is a fire alarm, not a guest list.
What I would not pipe into campus Slack
Three switches cause regret on a campus account if you flip all of them on Monday.
Booking confirmed, on a drive where students self-schedule in a wave, will talk all afternoon. Useful for a coordinator whose job is the calendar. Useless in a channel meant for “who should we fight to keep.”
Candidate screened, if you also have the high-score ping and the digest, is a third telling of a story the channel has already heard. I would turn it on only for the role where the voice result changes the same-day decision, and leave it off for roles that wait for a Friday panel.
The high-score alert at 0.85, on a loose fresher rubric, can mean dozens of messages before lunch. Look at one real day’s scores before you arm it. If most serious students land between 70 and 88, an 0.85 line is a filter. If they land between 88 and 96, the line is a firehose and you should move it.
Auto-decide bands are a separate choice. They can advance or reject without a human. An alert does not do that. An alert only speaks. Do not treat a Slack star as an acceptance.
A campus week with HireQwik alerts set this way
Here is the setup I would leave with a TA lead running two colleges in the same fortnight.
Sunday night, the sheet is connected and the high-score event is on at 0.90, so only the top resume band taps the channel overnight. Monday 9:00, the digest email hits the role owner with the overnight counts, and the channel gets that copy because the whole pod is in one room that week. Through the day, Candidate screened is on for the voice round, so a top voice outcome shows up while panels are still running. Booking confirmed stays off. The nudge stays at 5, on email, so a quiet channel does not hide a growing unreviewed pile.
The overview of what HireQwik posts into chat covers the message shape and the admin gate. This campus cut is narrower: overnight match, morning count, same-day verdict. Everything else can wait for the inbox.
If your next college drop is already on the calendar, set the line before the sheet arrives, not after the first burst. A walkthrough is on the demo form if you want help matching events to the drive you actually run.
Frequently asked questions
Should a campus drive alert Slack for every resume score?
No. The high-score alert only posts when a newly ingested resume clears the line you set, and that switch starts off. Alerting every applicant turns the channel into another inbox. Start with a high line, or wait for the morning digest.
What time does the HireQwik campus digest reach Slack?
The email to the role owner goes out at 09:00 IST by default, and only when something new is waiting. Slack or Teams gets a copy only if an admin has ticked the per-role digest event. The email can be on while chat stays off.
Can each campus recruiter point alerts at their own Slack room?
Not today. The destination is chosen once for the organisation by an admin. Regional recruiters still own their roles inside HireQwik. The channel is the shared place the team hears about completed screens and high matches.
